Import planning

Importing Commercial Refrigerators from China: An RFQ Checklist

Organise the product, compliance, quality and logistics questions needed for a comparable factory quotation.

Organise the product, compliance, quality and logistics questions needed for a comparable factory quotation. Use the following framework to make supplier comparisons more specific and reduce avoidable revisions before production.

Describe the operating requirement

Provide the stored product, target temperature, ambient conditions, door-opening pattern, placement, ventilation limits and power supply. These details help factories quote a suitable system rather than only a similar-looking cabinet.

Freeze the commercial configuration

List cabinet dimensions, door type, shelving, lock, casters, controller, lighting, branding, plug, refrigerant, packaging and accessories. Ask suppliers to state every assumption and exclusion.

Request traceable project evidence

Define the required drawings, specification, applicable compliance files, inspection record, temperature evidence, packing photos and loading information. Document timing should be part of the order plan.

Clarify responsibilities

Agree quotation validity, payment milestones, Incoterms, production release, inspection, shipment booking, spare parts and claims workflow. Use qualified customs, compliance and logistics professionals for destination-specific advice.

Apply the checklist

Turn the questions into a project brief.

Share the destination, product pack, quantity and intended placement. We’ll identify the reference platform and the information still needed.
